Missed call text back: a practical guide for UK businesses
Missed call text back is an automatic text acknowledgement after an unanswered call. It gives a mobile caller a way to reply with what they need, ready for someone on your team to call back. It does not answer the original call or guarantee a booking.
Acknowledge the call, then own the callback
A text is useful when your team cannot pick up now but can return the call. Name the business, ask one simple question and set an expectation you can meet. If the caller needs a conversation now, consider live answering instead.
How missed call text back works
The useful part is not just sending a text. It is giving the caller a next step and making sure a real person follows through. A practical workflow looks like this:
- The call goes unanswered. Your team may be with a customer, on another call or out on a job.
- The mobile caller gets an acknowledgement. The message identifies the business and explains what happens next.
- The caller can reply. A short description helps the team prepare, without asking for sensitive details by text.
- A named person owns the callback. Everyone can see who is handling it.
- That person calls back and records the outcome. A reply is the start of a conversation, not proof of a booking.
With Unmissed, the missed call and any text reply stay together in a shared missed call inbox. Your own team has the conversations. Join the free beta if that is the help you need.
Three missed-call text message examples
These are original templates to adapt to your own process, not a demonstration of message-editing controls in Unmissed. Replace the square brackets and only promise a callback window your team can cover.
When you are with a customer
When you are out on a job
When the business is closed
Keep the acknowledgement about the enquiry. Avoid adding offers or asking for payment details, medical information or other sensitive information. The ICO’s guidance on electronic and telephone marketing explains the distinction between service correspondence and marketing. It is not a blanket exemption for every missed-call text; get appropriate advice for your own use.
A text is only the start: who calls back?
Agree who checks missed calls during each shift, who covers breaks and who takes over when someone is away. Give each callback one named owner before anyone dials, so two colleagues do not ring the same person.
Set a response expectation that reflects the work you do. If the promised window slips, make sure the owner knows and can update the caller. Record whether you reached them, need to try again or have finished the enquiry. This is process advice, not a promise that software will resolve every missed call.
Unmissed nudges the team after 5 minutes without ownership. At 15 minutes during opening hours, the owner gets a text on their own mobile. Those are prompts to act, not guaranteed callback times. Your team still needs someone available to make the call.
Can you keep your existing number?
Unmissed uses call forwarding on your existing line, so you keep your number and phones. Conditional forwarding sends calls you cannot answer to another number rather than diverting every call. What your line supports, and what diverted calls cost, depends on your provider and plan.
Before relying on it, check provider support, charges and what happens to voicemail. Then test a real call together, including the reply and callback route. Read our guide to check call-divert options for your UK network for setup details rather than guessing a code. Unmissed includes hands-on forwarding setup during the beta.
Mobile, landline, withheld and after-hours limits
- Mobile callers: Unmissed sends a friendly text within 5 seconds of a missed mobile call. This is the stated product behaviour, not a network-delivery guarantee. The caller may not read or reply to it.
- Landline callers: do not assume they can receive SMS. Unmissed provides a voice-based response or callback route instead.
- Withheld numbers: Unmissed prompts the caller to leave a number. If they do not, your team may have no way to contact them. Recovery is not guaranteed.
- After hours: Unmissed uses an after-hours message to set expectations. The callback clock starts at the next opening, not while the business is closed. Assign someone to check the inbox when you reopen.
When comparing services, ask which callers they support and how replies work. For example, TextTheCaller says it skips landlines, withheld numbers and international callers. Do not assume every text-back service handles the same cases.
Text back, voicemail or live answering?
Choose by the job you need done, not just whether a service sends texts. If callers need someone to answer questions immediately, acknowledgement followed by a callback is not a substitute.
| Approach | Useful when | Who follows up? | Check first |
|---|---|---|---|
| Voicemail | You can manage messages and return calls yourself. | Your team listens and calls back. | Who checks it, how often, and what happens if no message is left. |
| Missed call text back | Your team can call back but needs to acknowledge callers and collect context. | Your team owns the callback. | Caller coverage, replies, forwarding and ownership. |
| Human answering | The caller needs a person now, within the service’s coverage hours. | The receptionist handles the agreed tasks; your team handles anything passed on. | Hours, transfers, booking scope and how messages reach you. |
| AI answering | You want configured software to handle a live conversation. | The software handles configured tasks; your team handles exceptions and follow-up. | Accuracy, escalation, supported tasks and coverage. |
For primary-source examples, Moneypenny describes human answering, including transfers, messages and appointment booking. IONOS describes setting up AI answering. These are providers’ descriptions, not our hands-on test results. Check each service’s current scope and hours before choosing.

Is Unmissed a fit for your business?
Unmissed suits small UK businesses that want to keep their number and have their own people return calls. It does not provide receptionist-style conversations, answer calls as your business or make bookings for you.
It is free during the beta, with setup included and no card needed. We agree usage limits and terms before setup. In return, we ask for a 30-minute research chat about your business and short monthly feedback calls. Beta members get a founding-member price when paid plans start; no paid price is published yet. Read the free beta offer before joining.
Join the free beta with your email, then complete onboarding and choose a call time. We call within one working day after onboarding. If it is a fit, we check forwarding support and charges and test a real call with you. Signing up does not switch the service on immediately.
